Golf tournament planning checklist
Use this checklist to stay on schedule from eight weeks out to the final putt. Adjust to your scale — a club day and a big charity outing are the same steps, different sizes.
8 weeks out
Set the date, format, and course. Lock your player count and confirm your budget at $1 per player. Choose your scoring tool (yes, that's us) and create the tournament shell.
6 weeks out
Open registration, build the roster, and confirm sponsors and prizes if you have them. Promote your event so the field fills.
4 weeks out
Settle the roster and tee-time plan. Confirm the course's conditions and any special rules (e.g., best-one vs. best-two in a shamble). Make sure scoring is set up — course, par, format — in your dashboard.
2 weeks out
Email players the details: format, tee times, start holes, and the live leaderboard link. Confirm catering, signage, and any hole sponsors.
1 week out
Final headcount and roster. Add any players or teams and top up your slots if you need more. Do a dry run of the scoring setup so day-of is smooth.
Day of
Greet the field, start on time, and enter scores hole by hole as they come in. Watch the leaderboard update live and settle prizes right off the board.
After the round
Confirm final scores, thank your sponsors and players, and share the results link so everyone can relive the round.
